Most email signatures are either missing entirely or so cluttered they compete with your actual message. A great email signature does one thing: it makes the person on the other end trust you faster. That means clean design, correct information, and a visual identity that matches your brand — not a wall of social icons from 2015.
A complete professional signature includes: full name, job title, company name, email address (linked), phone number (optional), website URL (optional), LinkedIn profile URL (strongly recommended), and a small logo or brand mark (optional but adds credibility).
What does NOT belong in a signature: company address unless it's legally required, motivational quotes, multiple font sizes, animated GIFs, more than 3 social icons, or a disclaimer block that makes your email look like it came from a law firm.
The HTML signatures generated by this tool render in Gmail, Outlook, Apple Mail, and most webmail clients. HTML signatures preserve your brand colors, font styling, and logo. Plain text signatures strip all of that — they're fine for transactional emails, but for any email where you're trying to build a brand impression, HTML is the right choice.
One exception: if you're sending to someone on a corporate email system that strips external images (common in legal, finance, and some government), the signature will still show the text — just without the logo and color styling. This is why we always include plain-text contact details alongside any visual elements.
